Filter procurement.
Keep the decisions clear.
Download RFQ, sample-review and private-label packaging templates for automotive filters. Keep each requirement, supporting document and approval connected to the same item and revision.

|---|---|
| Filter RFQ template | Record one filter item per row, with quantities, specification and unanswered questions. |
| Sample-review checklist | Keep sample identity, requirements, evidence and the scope of each decision together. |
| Private-label packaging brief | Connect the product, pack hierarchy, artwork revision and quotation scope. |
| Fictional worked example | See an incomplete sample-review record with a clarification still pending. |
| Instructions and limitations | Read the file descriptions, import notes and the boundaries of the worksheets. |

A sample-review record with a defined scope.
Identify the buyer item, proposed supplier reference, sample ID and drawing or specification revision first. Then record the requirement, the observed information and the evidence needed for a decision. Agree acceptance criteria for the actual application before using the sheet for approval.
- Dimensions: record units, measurement locations and the condition of the sample. Keep differences visible for review.
- Application: identify the vehicle or housing evidence separately. Matching outer dimensions alone does not confirm interchangeability.
- Performance: identify the relevant sample, report, method and conditions where performance evidence is required. A photograph or material name is not a test result.
- Decision: state exactly which review area is accepted, by whom and on what date. Leave other areas pending.
For a cabin filter, use the measurement guide and sample-review framework with the agreed product specification.
A packaging brief that follows the product revision.
Describe the individual protection, retail box and outer carton separately. Record the buyer item code, languages, buyer-supplied barcode data and any direction markings that need to match the approved product information.
Connect the artwork file and proof to the product or sample revision they describe. Keep packaging quantities, proposed materials and separate charges visible in the quotation. A box proof does not establish product fitment or performance.
| Decision | Record |
|---|---|
| Product | Item reference, sample and specification revision, actual review scope and unresolved questions. |
| Artwork | File and proof revision, information checked, actual decision-maker and date. |
| Packing proposal | Pack hierarchy, quantities, included costs and any changes still to agree. |
The private-label packaging example shows the questions to resolve with a supplier. Check market-specific labelling requirements separately.
An incomplete example is a useful example.
The worked-example file uses EXAMPLE-CABIN-01 and DEMO-SAMPLE-A as fictional identifiers. No real catalogue item, drawing, test report or approval is included. Its status remains Pending clarification.
The open question is to agree the measurement locations and obtain the actual drawing before making a dimensional decision. Fitment, performance and packaging remain separate questions. Replacing a missing answer with “approved” would hide the gap rather than resolve it.
Use one reference through the enquiry.
- Prepare the RFQ item with the information available; mark unknowns.
- Connect the supplier proposal and sample to that item and revision.
- Record each clarification with its supporting document and decision owner.
- Connect the artwork and packing proposal to the same agreed product version.
- Review changes against the original scope before releasing a later revision.
The RFQ comparison checklist explains how to keep scope differences visible between supplier replies.
Scope and further reading.
The worksheets organize purchasing information. They do not define universal tolerances, a test procedure, certification, vehicle fitment, an HDASHER supply commitment or contractual acceptance. Use the applicable vehicle instructions, agreed specification and qualified reviewers for the actual project.
For cabin-filter testing context, the scope of ISO/TS 11155-1 covers particulate testing, while ISO 11155-2 covers gaseous filtration. These worksheets do not claim conformance to either method.
